Recreation Program Manager

The City of the Village of Indian Hill is accepting applications for the position of Recreation Program Manager. This position is responsible for managing the day-to-day programming and related business operations of the Indian Hill Recreation Commission. The purpose of the Indian Hill Recreation Commission is to provide recreational opportunities and athletic programs for residents of the Village of Indian Hill and the students of the Indian Hill School District.

This position provides leadership by planning, implementing and supervising recreation programs, events and activities for youth and families; recruits and coordinates the activities of volunteer coaches and sports chairs; prepares program budgets and monitors expenditures; performs the scheduling and use of Village recreation facilities and works closely with community partners to provide opportunities for the Indian Hill Recreation Commission. The Indian Hill Recreation Commission currently serves approximately 1,500 participants offering sports of soccer, volleyball, cross country, basketball, lacrosse, track, baseball, softball and tennis.

  • Plans, schedules, organizes and promotes programs, leagues, activities and/or special events at various facilities and adjacent grounds; including park facilities.
  • Represents the Recreation Commission through the scheduling and attendance of meetings; prepares meeting space as needed; represents absent program chairs to update the Recreation Commission board members of events and attends other league meetings; distributes meeting minutes.
  • Creates and distributes marketing materials, newsletters, public information and articles for the Indian Hill Bulletin pertaining to activities of the Recreation Commission.
  • Answers and screens incoming telephone calls; directs calls as appropriate; provides routine information to customers and the general public regarding activities; prepares general correspondence and emails.
  • Responds to initial complaints or program issues with public and/or patrons; uses discretion when directing issues or complaints to City Manager and Recreation Commission.
  • Maintains records and prepares reports, memos, letters and sections of various manuals; may assist in preparing financial, grant, insurance and inventory records.
  • Develops and implements ongoing analysis and evaluation of marketing, program and service demands; evaluates the effectiveness of programs and makes recommendations on modifications to existing programs.
  • Develops and implements expectations for League Administrators/Organizations.
  • Maintains scheduling software, website and social media pages for the Recreation Commission. Coordinates recreation software setup and usage relating to programs, leagues, and activities, facility usage and tracking and reporting.
  • Prepares and announces registration dates, event notices, volunteer opportunities and parent/coach notifications.
  • Creates and maintains team and sport home pages and serves as liaison with vendors to keep various pages up-to-date; setup various online registrations and assign players to various sport teams.
  • Organizes and assists with drafts of players for placement on teams and assign within website.
  • Schedules and maintains accurate records of background checks and concussion certification for coaches.
  • Assists in the Recreation Fund’s annual operating budget; provide budgetary analysis on all budget line items; approve and monitor expenditures in accordance with approved budget and purchasing. Prepares and manages the Recreation Fund budget and accounting for registration fees and program expenses. Assists in preparing purchase orders and purchases supplies and materials for recreation programs, facilities, and activities.
  • Oversees the collection of fees, purchase orders and ordering uniforms and equipment.
  • Demonstrates accountability and responsibility for completion of work assignments; provides responsive and timely feedback.
  • Organizes, distributes, collects, stores and maintains various sporting equipment. Maintains supplies, equipment and materials in support of athletic and recreation programs, events and operations.
  • Works collaboratively with independent organizations regarding facility use and scheduling.
  • Monitors the scheduling and reserving of athletic fields and all other special use requests park areas.
  • Coordinates with Public Works Department to maintain fields and equipment and advising on field needs.
  • Recruits, supervises and coordinates the operations, functions, resources and volunteers required to successfully manage the Recreation Commission programs.
  • Coordinates with Recreation Commission leagues for certification of referees; assigning games, training opportunities and monitoring field assignments for games.
  • Coordinates City events such as the Easter Egg Hunt and fourth of July parade, tennis camps, soccer camps, bi-annual appreciation lunch for Public Works/Water Works employees and annual coach appreciation dinner.
  • Fosters relationships with individuals, groups and other agencies within the community and recreation profession.
  • Monitors recreation programs, activities and events, including evenings, weekends, and holidays as necessary.
  • Serves as liaison between participants, parents, the Recreation Commission and the City.
  • Meets with City Manager to provide monthly updates of the Recreation Commission and program activities.
  • Regular, predictable, and punctual attendance is required.
  • General supervision of sport chairs, coaches and volunteers.

  • Must possess basic knowledge of municipal park, sports and recreation programming and be able to assist in developing and administering a diversified program of recreation and sports activities and services to meet the needs of citizens of all age groups.
  • High level of public relations skills, tact, common sense and patience in dealing with the public.
  • Knowledge of all computer applications and hardware related to recreation reservation and activities software.
  • Ability to promote recreation and sports through personal contact and always maintain a neat personal appearance.
  • Must be familiar with the use of various types of recreational equipment.
  • Ability to ensure safety regulations and emergency procedures.
  • Ability to work flexible hours (to include nights and weekends).

A Bachelor’s degree from an accredited four-year college or university with a major in recreation and park administration, sports management, public relations or related field and 2 years of progressively responsible related experience (i.e., graduation assistantships accepted); or any equivalent combination of education, training or experience which provides the desired knowledge, skills and abilities to perform the essential functions of the position.

Current certifications in CPR, AED and first aid or the ability to become certified within 90 days from date of hire.

Possession of a valid State of Ohio driver’s license with an acceptable driving record.

Job Benefits

The position includes a competitive salary starting at $53,040 to $76,419, depending on qualifications, with an excellent benefit package. Position is unclassified, FLSA exempt, and at-will.
